1) Properties – Transaction > NEW Master Asset List
a) Once a property is under contract, Create new item with the naming structure and fill out as much information as possible
2) Main Workspace> Property Data Card
a) Create New Item and copy name
b) Find Column “Master Asset” to the right
i) This is connected to the Master Asset List, so find the new property and check it off. All data will auto-populate from the Master Asset List if it's filled in.
3) Main Workspace> Critical Dates
a) Create New Item and copy name
b) Find Column “Master Asset” and “Property Data Card to the right
i) This is connected to the Master Asset List, so find the new property and check it off. All data will auto-populate from the Master Asset List if it's filled in.
4) Master Template> Master Due Diligence Checklist
a) Duplicate the Master Due Diligence Checklist and rename it according to the property.
b) Move it to the Acquisitions green board
5) Master Template> Master Summary Dashboard
a) Duplicate the Master Dashboard
b) Change it to Main,
c) Rename it according to the property
d) Move to Acquisition Summary Boards
6) Acquisition Summary Boards> New Property
a) Property Data Card & Critical Dates settings, enter property name
b) Card columns, select Item ID
c) filtering by item ID.
d) Remove any irrelevant data and hit save
7) Acquisition Summary Boards> New Property
a) Filter the Due Diligence Checklist by going to settings
b) Go down to boards
c) Select only the relevant checklist
d) Type in the name of the property and hit save
8) Main Workspace> Closing Contact
a) Add all points of contact, such as the title company and seller, under the asset name.
b) Connect by adding New Property in Column “Asset Name”
9) Acquisition Summary Boards> New Property
a) Closing Contacts Section
i) Go to settings and filter by New Property
b) Files Gallery Section
i) Go to settings and filter by New Property
***Note: The same process applies for refinance and disposition, use appropriate boards and templates****
Instructions for Closing a Property:
10) Acquisition Summary Boards> New Property
a) Change the life cycle to asset management or sold once the property is acquired or sold.
b) Delete the Summary Board
c) Main Work Space> Property Data Card
i) Archive Item
d) Main Work Space> Critical Dates
i) Archive the Critical Dates to remove the property from the summary list
